Creating Different Sections
In order to have your page numbering restart or have different formatting, you need to create different sections. By default, the whole document is a single section. In order to create a new section, you need to do the following:-
- Place your cursor at the end of the last page of the first section, i.e. where you want your new section to begin.
- Click on the Page Layout tab near the top of the window.
The icons are arranged in blocks. One of the blocks of icons is labelled Page Setup . One of the icons there is labelled Breaks .
- Click on the Breaks icon.
A Page Breaks panel will appear with icons classified under two headings. One of the headings is Section Breaks . One of the icons there is labelled Next Page .
- Click the Next Page icon.
You have split your document into two sections. The second section now begins on a new page. There is nothing to see that would indicate the separate sections, so far, but you will see it when you create the footers.
Controlling the page numbering in the first section
So let us now control the page numbering in the first section:-
- Click somewhere in the first page of the document.
(Anywhere in the first section of the document would do.)
- Click on the Insert tab near the top of the window.
One of the blocks of icons is labelled Header & Footer . One of the icons within that block is labelled Footer .
- Click on the Footer icon.
A panel will appear. At the bottom of the panel is an icon labelled Edit Footer .
- Click the icon labelled Edit Footer .
You are now placed in a mode for editing the footer. Your cursor is at the bottom of the page. There should be a label at the top of the footer with the words Footer -Section 1- . The toolbar near the top of the window has changed to one labelled Header and Footer Tools .
- Click on the Page Number icon near the left of the toolbar, and select Bottom of Page .
A panel will appear offering a choice of page numbering styles.
- Select Plain Number 3 .
(Which one to choose is really up to you.)
The number of the page should appear.
- Select the page number without selecting any spaces or other characters either side of the page number.
(This can be tricky.)
- Right click on the selected page number, and select Edit Field .
A Field panel should appear with Page already selected in the main left hand feild type selector.
- Select the Roman numerals in the Format box and click on the OK button.
The footers in section 1 should now be numbered using Roman numerals. Your cursor should still be in the footer section, and the toolbar should still be the Header & Footer Tools toolbar.
Controlling the page numbering in the second section
So let us now control the page numbering in the second section:-
- Scroll down the page and click into the first footer labelled Footer -Section 2- .
One of the blocks of icons in the toolbar near the top of the window is labelled Navigation . One of the icons there is labelled Link to Previous . It should already be highlighted. It indicates that the second section will have the same header and footer properties as the first section.
- Click on the icon labelled Link to Previous .
The icon should no longer be highlighted. This means that section 2 can have different properties than section 1.
- Select the page number without selecting any spaces or other characters either side of the page number.
- Right click on the selected page number, and select Edit Field .
- Select the Arabic numerals in the Format box and click on the OK button.
The footers in section 1 should now be numbered using Roman numerals, and the footers in section 2 should be numbered using Arabic numerals. The Arabic numbers do not yet restart from 1. The Header & Footer toolbar should be displayed near the top of the page.
- Click on the Page Number icon near the left of the toolbar, and select Format Page Numbers .
A Page Number Format panel should appear. Under the heading Page numbering there is a tick box and a value labelled Start at .
- Click the Start at tickbox and set the start at value to 1.
- Press the button labelled OK .
The numbers in the second section have now been restarted from 1. The Header & Footer toolbar should be displayed near the top of the page. At the right hand side of the toolbar near the top of the window, there is an icon labelled Close Header and Footer .
- Close the Header & Footer toolbar by pressing the red icon at the far right.
Your document window should return to the normal view.
